Practitioner Terms & Conditions

These Terms govern the use of the LumyIQ Practitioner Portal ("Portal") by aesthetic practitioners, clinics and their authorised staff ("you"). The Portal is operated by LumyIQ Intelligence Ltd, registered in England and Wales, Company No. 17366470 ("LumyIQ", "we", "us"). By creating a practitioner account or subscribing to a plan, you agree to be bound by these Terms.

1. Eligibility & verification

The Portal is reserved for licensed aesthetic practitioners and the clinics that employ them. You must provide accurate professional details and respond to verification requests. We may suspend any account where licensing, insurance or identity cannot be verified.

2. The Founding Partner Plan

LumyIQ currently offers a single subscription: the Founding Partner Plan. Your first three months are completely free. After the free period the plan is billed at £99 per month, or £950 per year if you choose annual billing (a saving of £238 against monthly billing). You choose your billing preference when you sign up and enter your card details at that point; no charge is taken until the free three months end.

The Founding Partner Plan includes:

• A verified profile in the LumyIQ practitioner directory, with your verification badge.
• Treatment tags so you appear in client scan result matches for the treatments you offer, with indicative "from" pricing.
• A booking link and contact enquiry form on your profile, plus referral tracking so you can see how many clients LumyIQ sends to your website.
• A practitioner dashboard with referral analytics, and self-service management of your treatments, prices and credentials.
• Email support with a 48 hour response target.

Features currently in development — including verified client reviews, featured placement, before and after galleries, treatment performance analytics, multi-practitioner seats and in-clinic LumyIQ scans — will be released to Founding Partners at no extra cost while your subscription remains active. Prices and included features may change with 30 days' notice before your next renewal.

3. Billing, renewals & cancellation

After your free three months, your subscription renews automatically at the end of each billing cycle using the payment method on file. You can cancel at any time from the Billing page in your dashboard, or by emailing us. Cancelling during the free three months means nothing is charged.

If you cancel a monthly subscription, cancellation takes effect at the end of the current paid month and you retain access until then. Annual subscribers are billed for the full year upfront and are not entitled to a partial refund if cancelled early, except where required by law. If a payment fails, your profile remains live for 7 days while you update your card details, after which it will be unpublished until payment is resolved.

4. Client leads and referrals

LumyIQ provides the Portal as a discovery and referral channel. When a consumer finds your profile and clicks to book, they are directed to your own website or booking page via a tracked referral link. LumyIQ does not take payment from clients, does not handle bookings, and is not responsible for the appointment, consultation, treatment or any transaction between you and the client. You remain solely responsible for the consultation, suitability assessment, treatment, aftercare and all payment and cancellation terms you offer clients. You must hold valid professional indemnity and public liability insurance at all times. You must ensure the booking or website URL on your LumyIQ profile is accurate and kept up to date.

5. Acceptable use

You agree not to:

• Misrepresent your qualifications, services, pricing or availability.
• Contact clients for purposes unrelated to the enquiry, or share client data with third parties.
• Use the Portal to advertise prescription-only medicines in breach of local regulations.
• Scrape, reverse-engineer or resell access to the Portal.

6. Data protection

Client data shared with you through the Portal must be handled in accordance with the UK GDPR and equivalent local laws. You act as an independent controller for any data you collect from a client after the initial introduction. Our processing of practitioner and client data is described in our Privacy Notice.

7. Intellectual property

LumyIQ retains all rights in the Portal, its software and content. You retain ownership of the clinic information, photos and reviews you upload, and grant LumyIQ a worldwide, royalty-free licence to display them within the LumyIQ products for the duration of your subscription.

8. Suspension & termination

We may suspend or terminate your account immediately if you breach these Terms, if a regulator requires us to, or if your continued use poses a risk to clients. You may close your account at any time; an export of your leads will be made available for 30 days after closure.

9. Liability

To the maximum extent permitted by law, LumyIQ's total liability to you in any 12-month period is limited to the fees you paid in that period. We are not liable for indirect or consequential loss, including loss of profits or reputation.

10. Changes to these Terms

We may update these Terms from time to time. Material changes will be notified by email or in-portal at least 30 days before they take effect. Continued use of the Portal after that date constitutes acceptance.

11. Governing law

These Terms are governed by the laws of England and Wales, and disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
